Multinational Japanese company (Riso Kagaku Corporation) is looking for a Credit and Sales Administrator to join our shared service centre based in Barcelona. The main responsibilities include credit control, cash collection, customer contracts profitability analysis, and MIF (Machines In the Field) management for our German subsidiary. Reporting to the Riso Deutschland Financial Controller, the role also involves assisting with contract invoicing tasks and preparing monthly and quarterly reports.
To succeed in this role, proficiency in German is required, along with experience in sales administration and credit management.
Key Duties and Responsibilities:
1. Credit management: assessing creditworthiness inquiries, setting credit limits, monitoring customer payments, and releasing orders. Monitoring Accounts Receivable, enforcing payment collection, preparing reminders, and cooperating with debt collection agencies and lawyers. Registering insolvent receivables with the court.
2. Cash collection processes: booking and monitoring incoming payments. Managing regular direct debits. Maintaining customer master data. Reconciliation of accounts receivable. Monthly reporting of debtors and overdue balances.
3. Contracts and MIF management: ensuring the integrity and accuracy of copy contract invoicing, profitability checks, and customer-by-customer analysis. Supporting and backing up contract invoicing processes. Dealing with leasing companies for customer contract agreements and ensuring invoicing accuracy. Conducting customer contract profitability analysis and monthly reporting to local management.
4. Collaborating in the preparation of monthly, quarterly, and annual reports. Supporting the Financial Controller during budget processes with contract budget preparations.
Knowledge, Skills, and Abilities Required:
* Experience in sales administration and credit management.
* Proficiency in German (ideally native) and advanced English skills; additional languages are a plus.
* Familiarity with ERP systems and Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
* Excellent multitasking, communication, and time management skills.
* Commitment to efficiency and accuracy in work.
