We are looking for an experienced Payroll Coordinator to manage all payroll operations for our offices in the United States and Europe. The role ensures that payroll is processed accurately, timely, and in full compliance with local laws and company policies.- In Europe, the coordinator will work closely with external accountants, providing all payroll data, documentation, and compliance information required for processing.- In the United States, the coordinator will manage full end-to-end payroll internally using ADPThe Payroll Coordinator will work closely with and report directly to the Global HR Manager.Responsibilities are but not limited to the following:- Full payroll administration: Process salaries, overtime, allowances, deductions, and adjustments accurately for all employees.- Bonuses and incentives: Calculate and process all bonuses, including end-of-year, and March/April bonus cycles.- Benefits payment administration: Manage pensions, retirement contributions, and employee benefits, ensuring accuracy and compliance.- Tax compliance: liaise with accountants for all statutory taxes, social contributions, and other mandatory payments for employees and the company.- Data management and reporting: Maintain accurate payroll records, prepare payroll reports, and provide payroll data to management.- Coordination with accountants: In Europe, prepare and verify all payroll information, compliance documents, and legal filings before submission to external accountants.- ADP management: In the United States, manage full payroll processing using ADP, ensuring accurate inputs and outputs.- Employee support: Respond to employee payroll inquiries, resolve discrepancies, and provide guidance on benefits and deductions.- Excel expertise: Use Excel extensively for payroll calculations, reporting, reconciliations, and data analysis.- Year-end and audit support: Prepare year-end payroll documentation, support audits, and ensure all reporting is compliant with local laws.- Process improvement: Continuously optimize payroll processes, documentation, and workflows for efficiency and accuracy.Skills:- Proven experience in payroll administration, with multi-country or international payroll exposure.- Extensive Excel expertise (advanced formulas, pivot tables, macros, data analysis).- Highly organized, detail-oriented, and able to manage multiple deadlines across jurisdictions.- Excellent communication skills in English, additional European languages a plus.- Ability to handle confidential employee and financial data professionally.
