A Day in the Life:
Administrative Management of the Fleet.
What You'll Do:
- Daily Vehicle sales management (Buy-back, exportation and wholesale)
- Management and control of the vehicle's titles
Key Responsibilities
Vehicle Documentation and Invoice Management
- Oversee the control and management of all vehicle-related documentation, including invoices and tax records.
- Coordinate with external administrators to prepare all necessary legal documentation required by buyers.
- Maintain an organized archive of documentation and regularly update the database to accurately track vehicle sales.
- Communicate daily sales information to support the timely and accurate invoicing process.
Sales Process and Payment Follow-up
- Resolve any arising issues, monitor invoicing, and ensure payments are followed up before providing vehicle documentation to buyers.
- Record all invoices in the system to maintain up-to-date financial data.
Operational Coordination and Compliance
- Manage requirements related to lost keys, guarantees, insurance policies, and ITV inspections in coordination with the external administrator, and oversee the shipment of these items to the appropriate locations as needed.
- Address and resolve issues reported by rental locations or other departments.
- Monitor and control CMRs (export documents) to ensure timely provision to European buyers.
- Provide daily updates on buy-back vehicles and communicate with manufacturers regarding traffic disabilities or documentation notices.
- Follow up on overdue items to ensure all actions are completed promptly and in compliance with company policies.
What We're Looking For:
- At least 2-3 years in similar administrative functions- desirable in the automotive sector.
- High level of English (Any other European language desirable)
- High level on Microsoft Excel
