Job description: Our client is looking for an Operational Project Assistant Service who will be supporting project execution and ensuring smooth operations of projects by managing administrative tasks, coordinating schedules, tracking progress, and facilitating communication between teams and stakeholders.
What you'll do:
* Provide proactive support to Project Leaders (PL) and Program Managers (PM) in the following areas:
* Coordination and follow-up throughout the lifecycle of an infrastructure project (from start to finish).
* Project tracking in terms of budget, finances, and accounting (including managing contractual documents).
* Tracking the project schedule for major milestones in SAP so that PLs (Project Leader) can organize and execute their projects in the most efficient way.
* You will input, according to PL instructions, various project milestones into the tool (SAP PS) throughout its lifecycle and perform, via SAP PS or Excel Babe, the various controls and follow-ups related to these milestones to ensure proper project execution in the different tools.
* You will coordinate the input and updates and/or control of the project budgets in the tools (SAP PS, Excel Babe) to ensure that the business can track the financial progress of its projects.
* You will provide proactive support to PLs and PMs so they can more effectively manage the budgetary, financial, and administrative aspects of their projects, as well as their schedules.
* You will initiate, according to PL/PM instructions, the creation of project sheets and coordinate their completion and validation with PLs/PMs and the IPC secretariat to ensure they are submitted to decision-making bodies.
* You will ensure the creation and administrative follow-up of purchase requests (PR), shopping carts, store reservations, orders, and deliveries related to orders to initiate the purchasing process and ensure that suppliers proceed with orders correctly and within agreed timelines.
* You will write the "transfer of ownership" when the delivery date requested by client is exceeded. Upon PL request, you will coordinate the follow-up of accounts, work orders (WO), or order supplements and translate them into PR to create order amendments or calls on framework contracts.
* You will ensure that administrative documents are available (provisional, industrial, or final reception minutes, security clauses, and certificates) to close the file and release bank guarantees or withheld payments.
* You will be responsible for the creation and/or update of the work procedures related to project tracking used by OPAs to ensure transparency in these processes and ensure that OPAs manage files in a detailed and uniform manner.
What you bring:
* Bachelor’s degree or equivalent experience.
* In-depth knowledge of Excel (XLS report).
* In-depth knowledge of SAP.
Language:
* Preferably trilingual NL+FR+EN.
