As the face and voice of our company, you'll make sure every visitor, client, and team member feels welcomed and supported from the moment they walk through the door or pick up the phone. Responsibilities
* Welcome and assist visitors & clients — greet everyone with a smile, manage check-ins, and keep visitor logs up to date.
* Answer and direct incoming calls — be the first point of contact, whether in person, by phone, or email. Provide helpful, accurate information with a friendly tone.
* Manage mail and courier services — handle incoming/outgoing mail (national and international), sort and distribute it, and track courier costs for efficiency.
* Keep our space running — report maintenance issues, follow up on repairs, and support our Facilities/Office Manager with daily operations.
* Support office organization — order supplies, track inventory, and log expenses for internal control.
* Be a go-to support — assist the Office Manager with various admin tasks that keep the office environment professional, productive, and people-focused.
What will help you succeed
* At least 2 years of customer service experience, ideally in a corporate or professional office setting.
* Comfortable with Microsoft Office, especially Excel — you don’t need to be an expert, but you know your way around spreadsheets.
* Sharp attention to detail — you notice the little things that make a big difference.
* Strong multitasking skills — you can juggle calls, emails, visitors, and admin tasks without breaking a sweat.
* Bilingual in English and Spanish — excellent communication in both languages is a must. French is a big plus!
