We are seeking a trusted right hand —a dynamic Personal & Executive Assistant to support the CEO of a fast-growing international tech company based in Barcelona. This hybrid role requires a professional who can anticipate needs, handle complex logistics with ease, and bring order to chaos by seamlessly managing both the CEO's professional and personal worlds.
This is a high-impact, confidential role where you will dedicate approximately 70% of your time to Personal Assistance and 30% to Executive Assistance .
Key Responsibilities:
Executive Support (Approx. 30%)
* Gatekeeping & Communication: Proactively filter, triage, and draft responses to the CEO's business emails and correspondence, ensuring only critical matters reach their desk.
* Business Calendar Management: Strategic management of the professional calendar, scheduling high-priority meetings across multiple time zones.
* Business Travel: End-to-end coordination of complex international business travel, including flights, visas, ground transport, and accommodation.
Personal Support (Approx. 70%)
* Personal Logistics: Manage the CEO’s personal calendar, appointments, and daily logistics with absolute discretion.
* Personal Travel: Coordinate all personal travel arrangements, reservations, and bookings, often on short notice.
* Household & Vendor Management: Liaise with high-end vendors, service providers, and household staff to ensure smooth day-to-day personal operations.
* Events & Social: Plan and assist with personal events, social engagements, and family activities.
* Errands & Purchases: Handle sensitive personal errands, purchases, and tasks with reliability and strict confidentiality.
* Flexibility: Provide flexible support, including occasional availability during evenings or weekends when required.
Core Skills & Experience:
* Experience: 3+ years of experience in a Personal Assistant, Executive Assistant, or similar high-level support role.
* Organization: Highly organized and meticulously detail-oriented—you thrive on creating efficient systems and never let a ball drop.
* Discretion & Adaptability: Flexible, highly discreet, and able to shift gears quickly when priorities change.
* Problem-Solver: A proactive, solutions-oriented professional with excellent communication and interpersonal skills.
* Language Fluency: Native/Bilingual level of Spanish and Full professional level of English (written and verbal). Ukrainian fluency is a strong plus.
* Availability: Able to work on weekends and evenings occasionally to support the CEO’s demanding schedule.
