The Role:
Save time, create order, and streamline the professional and personal life of the Founder. You will act as a trusted extension of the leadership, providing structure, sound judgment, and peace of mind.
We are looking for a highly organized, proactive individual with a strong service mindset to take on a key role providing comprehensive assistance to two company founders and their families.
This is a versatile, cross-functional position. Your primary mission is to facilitate, anticipate, and optimize the founders' time in the broadest sense: professional, personal, and family-related.
The role combines the functions of an Executive Assistant, Personal Assistant, and Family Office Assistant, acting as the central coordination point between people, internal teams, external vendors, and the family environment.
Key Responsabilities:
Executive & Business Support:
* Manage complex calendars and daily/weekly planning for the founders.
* Coordinate business travel (flights, hotels, transfers, itineraries).
* Liaise with various company departments to:
o Prepare for business trips.
o Coordinate meetings, visits, events, and external agendas.
* Manage relationships with travel agencies, vendors, external assistants, and partners.
* Organize and support corporate events, strategic meetings, and institutional gatherings.
* Monitor key tasks and reminders, ensuring execution and follow-through.
Personal & Family Support:
* Organize and plan family travel and vacations.
* Coordinate family logistics (calendars, commitments, transportation).
* Manage and coordinate household staff and other domestic support.
* Assist in organizing family or personal events when necessary.
* Act as a trusted figure to resolve day-to-day needs with discretion and judgment.
Coordination & Time Optimization:
* Centralize information, requests, and needs to reduce friction and "noise."
* Anticipate problems and propose practical solutions.
* Enable founders to focus on strategic and creative decisions.
* Provide order, structure, and clarity within changing contexts.
Who you are:
Must-Haves:
* Previous experience as an Executive Assistant, Personal Assistant, or a similar high-responsibility role.
* A highly organized, structured, and proactive profile.
* Strong ability to plan and manage multiple projects simultaneously.
