Role Overview: Oversees established process workflows, ensuring team members understand and perform their duties or delegated tasks properly. Responsible for supervising team performance, providing constructive feedback and coaching, and serving as the main point of contact with stakeholders for daily operations. Must have excellent communication skills and a passion for organization, agility, and team needs. Expertise as a Senior Meeting Planner is required.

What you’ll do on a typical day :

* Assign new requests to Meeting Planners in coordination with the Operations Team Leader (OTL) and balance the team’s workload to ensure high-standard event delivery.
* Coordinate workflow and ensure meeting planners/admins understand and perform their duties accurately.
* Work with the Account Supervisor (ACS) and OTL to establish priorities, address problems or delays, and manage complex projects collaboratively.
* Hold operational meetings with the team to assess workloads, identify opportunities or risks, and provide quick solutions.
* For strategic, high-volume, and sophisticated projects, collaborate with the ACS and OTL to serve as the stakeholder’s point of reference and avoid over-reliance on a single person.
* Supervise team performance, provide feedback, mentorship, and gauge team happiness and success.
* Act as the point of contact between the team and stakeholders for operational issues.
* Participate in scheduled calls with stakeholders, such as qualifying and weekly operational meetings.
* Manage deadlines and progress to ensure workflow steps are covered and tasks are delivered on time.
* Improve workflow efficiency and identify process improvements.
* Support the OTL as needed and advise if further involvement is required.
* Guide and train new team members, ensuring understanding of client expectations.
* Demonstrate delegating skills to promote teamwork, engagement, and motivation.
* Make operational decisions on a smaller scale as needed, with passion and competence.

What we’re looking for :

5 years’ Senior Project Management experience.

* Knowledge of Amadeus (a plus).
* Excellent communication skills for professional stakeholder interaction.
* Strong teamwork and leadership abilities.
* Ability to work under pressure.
* Cvent knowledge (a plus).
* Experience with Pharma accounts.
* Strong organizational and time management skills.
* Proficiency with various tools and platforms.
