The role
The Junior Online Operations Specialist will provide critical administrative and execution support for the department. This role focuses on the seamless flow of marketing assets, product launches, and internal documentation. The specialist will act as a primary point of contact for regional coordination and process tracking, reporting directly to the Department Manager.
Key accountabilities
* Asset & Content Coordination: Collect and organize digital assets for various country teams; facilitate the creation and distribution of rich content (A+ content, product descriptions, visuals); monitor product launch timelines to ensure materials are live and accurate.
* Process tracking: Oversee lifecycle of contracts and invoices, routing for signatures, ensuring timely submission and record-keeping; serve as liaison between department and Finance/Legal to monitor document status.
* Campaign & Reporting: Monitor active promotional campaigns across regions; compile data and prepare regular reports on operational performance and campaign status.
* Administrative support: Manage general departmental follow-ups to ensure deadlines are met; maintain organized filing systems for all operational workflows.
Your profile
* At least 1 year of previous experience in marketing operations, project coordination, or as a high‑level administrative assistant.
* Exceptional ability to track multiple moving parts without losing detail.
* Clear and direct communication style for coordinating with international stakeholders.
* Good working proficiency in English; Spanish a plus.
* Competence in Excel/Google Sheets for reporting and familiarity with project management tools.
* Familiarity with or willingness to learn AI tools and automation to support operational efficiency and reporting workflows.
* A proactive approach to \"getting things done\" and a high level of reliability in following up on repetitive processes.
* Based in Madrid.
