Overview
IMDEA Materials Institute is a public research organization founded in 2007 by Madrid’s regional government to carry out research of excellence in Material Science and Engineering by attracting talent from all over the world to work in an international and multidisciplinary environment. IMDEA Materials has grown rapidly since its foundation and currently includes more than 120 researchers from 22 nationalities and has become one of the leading research centers in materials in Europe which has received the María de Maeztu seal of excellence from the Spanish government. The research activities have been focused on the areas of materials for transport, energy, and health care and the Institute has state-of-the-art facilities for processing, characterization and simulation of advanced materials. Description
The selected candidate will support the Human Resources Department, performing the following tasks:
Responsibilities
* Contract and documentation management
o Draft and manage employment contracts and university agreements.
o Update personnel documentation in IDINET and Bizneo systems.
o Prepare and issue certificates and official documents related to various employment matters.
o Maintain HR procedures and records.
o Coordinate with the Health and Safety and the Post-award departments.
* Soft-landing, onboarding and offboarding processes
o Manage onboarding and offboarding of employees, students, and visiting researchers.
o Support administrative procedures (residence permits, work permits, TIE, Social Security, banking, etc.).
o Draft guidelines and instructions addressing the most common employment-related queries and procedures for staff.
* Payroll and remuneration
o Report incidents to the external payroll agency.
o Review payroll calculations and generate payment files.
o Update employment conditions and salaries in accordance with changes to legal or collective agreements.
* Financial justification
o Support the financial justification of personnel costs in publicly funded projects.
* Training and recruitment
o Manage training documentation and costs (FUNDAE).
o Support PhD student enrolment procedures.
o Assist in recruitment processes and job offer publication.
Requirements
Academic qualifications:
* Bachelor’s degree or Higher Vocational Training in Administration, Human Resources Management, or related fields.
* Knowledge of labor regulations and administrative procedures, specifically within public sector institutions.
* Knowledge of public funding procedures and financial audits related to personnel costs.
Professional experience:
* Minimum 6 years in similar roles within public research organizations.
* Experience managing soft-landing, onboarding and offboarding procedures.
* Experience with administrative processes related to residence permits, work permits, TIE, Social Security registration, banking, and other formalities.
* Experience supporting the financial justification of personnel costs in publicly funded projects.
* Experience managing training documentation and associated costs, including those related to FUNDAE.
* Experience with PhD student enrolment procedures and formalities.
Technical skills:
* Proficient in Microsoft Office (preferably Office 365), especially Excel and Word.
* Previous experience in HR and project management software (Bizneo and IDINET).
* Previous experience in multicultural work environments.
Languages
* Advanced English level (B2).

Conditions
Contrato indefinido con cargo a la tasa de reposición para 2025 autorizada por la Consejería de Economía, Hacienda y Empleo de la Comunidad de Madrid.
Permanent contract under the 2025 replacement rate authorised by the Department of Economy, Finance and Employment of the Community of Madrid.
