In this context, we are currently looking to hire an Office Manager Specialist for our Madrid office, playing a key role in ensuring the smooth day-to-day operation of the workplace and supporting the People & Culture team.
We are seeking a high-potential professional with experience in office management, administration or HR support, ideally within a dynamic and international environment. The ideal candidate will be highly organized, proactive, and comfortable handling multiple priorities in a fast-paced setting.
A high level of English (C1) is essential, as the role involves working with international suppliers, managing visits, and preparing documentation and presentations in English.
This role is ideal for someone who enjoys coordinating, planning, and ensuring everything runs smoothly, while also contributing positively to the employee experience and overall office environment.
Key Responsibilities
Office Management
* Coordinate the daily operations of the office
* Manage suppliers (office supplies, cleaning, maintenance, insurance, etc.)
* Organize and manage meeting rooms
* Coordinate visits and reception
* Organize workspace layout and desk allocation
* Manage parking and desk booking system
* Manage the business travel booking platform
* Support internal events and overall office logistics
Administrative Support
* Monitor and control time tracking / attendance
* Support reporting and preparation of presentations
* Handle day-to-day operational issues
* Provide general administrative support
HR Support
* Assist with onboarding of new hires
* Coordinate access, equipment, and logistics
* Support internal communication
* Assist with administrative processes within People & Culture
What We're Looking For
* Previous experience in Office Management, Administration, or HR support roles
* High level of English (C1), actively used in a professional environment, including: Interaction with international suppliers, Managing visits and Documentation and presentations xohynlm in English
* Highly organized, proactive, and detail-oriented profile
* Strong coordination, multitasking, and problem-solving skills
* Excellent communication and interpersonal skills
* Good command of office tools (Excel, PowerPoint, etc.)
* HR-related educational background valued
