Job Opening: Full-Time Administrative Assistant
We are seeking a dedicated full-time administrative assistant to support our office operations. The role involves a variety of responsibilities aimed at ensuring efficient office functioning.
Responsibilities:
* Provide administrative support to ensure smooth office operations.
* Assist managers and staff with organizational and communication tasks.
* Handle confidential and sensitive information with discretion.
* Communicate effectively via phone and email.
* Complete administrative duties accurately and timely, maintaining high-quality standards.
* Answer and direct phone calls.
* Organize and schedule meetings and appointments.
* Maintain contact lists and develop a filing system.
* Prepare, copy, scan, and distribute correspondence, memos, letters, faxes, and forms.
* Assist in preparing regular reports.
* Order office supplies and manage inventory.
* Book travel arrangements and submit/reconcile expense reports.
* Support visitors and provide information as needed.
* Conduct research and prepare invoices.
* Coordinate repairs and evaluate new office equipment and techniques.
* Cover reception duties when required.
* Maintain both digital and manual filing systems.
* Manage staff appointments and supervise junior staff, including maintaining employee holiday records.
Requirements:
* Fluent in English and Spanish.
* Minimum of 3 years experience in office administration.
* Proficient in Microsoft Word and Excel.
* Bachelor’s degree required.
* Legal documents to work and reside in Spain.
* Strong time management and stress resistance skills.
