Role OverviewThe Executive Assistant will serve as a trusted partner to leadership, helping manage priorities, improve operational efficiency, and ensure smooth coordination across internal and external stakeholders.
This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.A background or exposure to legal, compliance, contracts, or corporate administration is considered a strong advantage.
Key ResponsibilitiesManage complex calendars, scheduling, and meeting coordination across multiple time zonesCoordinate internal and external communications on behalf of leadershipPrepare meeting agendas, presentations, reports, and follow-up action itemsSupport travel planning, expense management, and event coordinationAssist with document management, contract administration, and corporate recordsLiaise with legal counsel, vendors, partners, and external stakeholders when requiredMaintain confidentiality and handle sensitive business information with discretionTrack key deliverables, deadlines, and executive prioritiesSupport cross-functional coordination between departments including Operations, Finance, HR, and LeadershipHelp streamline administrative and operational processesProvide ad hoc operational and project support as needed
Requirements3+ years of experience as an Executive Assistant, Personal Assistant, Operations Coordinator, or similar roleExcellent organizational and multitasking abilitiesStrong written and verbal communication skills in EnglishHigh attention to detail and ability to work independentlyStrong proficiency with Google Workspace, Microsoft Office, and collaboration toolsAbility to prioritize effectively in a fast-moving xbhjioe environmentProfessionalism, discretion, and strong problem-solving skills
Nice to HaveExperience supporting C-level executives or foundersExposure to legal documentation, contracts, compliance, or corporate administrationPrevious experience in startups, tech, fintech, or international companiesFamiliarity with project management tools such as Notion, Asana, Jira, or ClickUpAdditional European languages are a plus
