Job Description
Assistant (m/f) within R&T Program in Getafe. The assistant will work closely with the Executive/Manager and his/her team to support them on time and efficiently in logistics, planning and organization tasks. The role requires extensive knowledge of the company organisation and of the necessary processes and tools.
Responsibilities
Manage calendar
Reserve meeting rooms and ensure videoconference working properly prior to meetings
Manage travel, expenses and time
Arrange flights, hotels, cars and other travel logistics
Claim travel expenses and other expenditures
Support information management topics
Create, follow‐up and resolve all IM issues and requests
Support Click n' buy – create shopping carts, purchase orders, receive merchandise and ensure resolution with procurement and finance
Support facility management – reserve catering, office space planning and management, office moves
Create, follow‐up and resolve all FM issues and requests (maintenance, repair, upkeeping)
Support and manage special office areas such as R&T Plateau, Protospace
Support budget control – track team budget with finance controller
Prepare events – organise, logistics and coordination of internal and external events and visits
Support data management – manage team G‐drive documents, folders, access permissions, versioning and archiving
Support launch and maintenance of team IM tools (e.g., portfolio management tool)
Support communications – coordinate with Communications department
Document editing – prepare, edit and format documents
Skills
Strong experience managing and coordinating daily operational business and administrative tasks
Strong organisational and time‐management skills with the ability to prioritise and multitask under tight deadlines
Strong motivation and ability to work in an international and changing environment
Reliability and attention to detail
Strong IT skills – proficient with Google Suite
Excellent verbal and written communication skills – negotiation English and Spanish; knowledge of other languages (French, German) is an asset
