Role Overview

The Executive Assistant will serve as a trusted partner to leadership, helping manage priorities, improve operational efficiency, and ensure smooth coordination across internal and external stakeholders.

This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

A background or exposure to legal, compliance, contracts, or corporate administration is considered a strong advantage.

Key Responsibilities

* Manage complex calendars, scheduling, and meeting coordination across multiple time zones
* Coordinate internal and external communications on behalf of leadership
* Prepare meeting agendas, presentations, reports, and follow-up action items
* Support travel planning, expense management, and event coordination
* Assist with document management, contract administration, and corporate records
* Liaise with legal counsel, vendors, partners, and external stakeholders when required
* Maintain confidentiality and handle sensitive business information with discretion
* Track key deliverables, deadlines, and executive priorities
* Support cross-functional coordination between departments including Operations, Finance, HR, and Leadership
* Help streamline administrative and operational processes
* Provide ad hoc operational and project support as needed

Requirements

* 3+ years of experience as an Executive Assistant, Personal Assistant, Operations Coordinator, or similar role
* Excellent organizational and multitasking abilities
* Strong written and verbal communication skills in English
* High attention to detail and ability to work independently
* Strong proficiency with Google Workspace, Microsoft Office, and collaboration tools
* Ability to prioritize effectively in a fast-moving environment
* Professionalism, discretion, and strong problem-solving skills

Nice to Have

* Experience supporting C-level executives or founders
* Exposure to legal documentation, contracts, compliance, or corporate administration
* Previous experience in startups, tech, fintech, or international companies
* Familiarity with project management tools such as Notion, Asana, Jira, or ClickUp
* Additional European languages are a plus
